1. Scope and who we are

Ironvision Software Inc. is the operator of fv-chatter. We are a corporation based in Canada. This Privacy Policy explains how we collect, use, disclose, store, and protect information when you access or use fv-chatter, including the website, dashboard, integrations, support channels, and related services.

This policy applies to information we handle on behalf of creators, operators, team members, prospects, and site visitors. It does not control the practices of third-party platforms, websites, or services that integrate with fv-chatter and maintain their own privacy terms.

2. Information we collect

The information we collect depends on how you use the service, what accounts you connect, and what features you enable.

  • Account and profile information, such as name, email address, company or creator details, onboarding responses, and account preferences.
  • Connected platform data, such as creator-account identifiers, usernames, profile metadata, OAuth tokens, refresh status, subscription status, and integration state needed to operate the service.
  • Conversation and automation data, such as messages, fan metadata, memory summaries, prompts, outputs, safety flags, moderation signals, scheduling instructions, and workflow settings.
  • Usage, device, and log data, such as IP address, browser or device information, access timestamps, page visits, error logs, audit logs, and product interaction events.
  • Support and communications data, such as emails, contact submissions, feedback, and troubleshooting records.

3. How we collect information

We collect information directly from you, automatically through your use of the service, from connected third-party platforms and providers you authorize, and from service providers that help us operate fv-chatter.

4. How we use information

  • Provide, maintain, secure, and improve fv-chatter and its features.
  • Authenticate users, administer accounts, and maintain connected integrations.
  • Generate, review, route, schedule, send, or suppress automated and AI-assisted outputs.
  • Operate safety systems, abuse prevention, fraud detection, and incident response.
  • Measure performance, reliability, revenue analytics, and product usage trends.
  • Communicate about support, updates, incidents, legal notices, billing, or account issues.
  • Comply with law, enforce our agreements, and protect our users, company, and platform.

5. Why we process information

We process information as reasonably necessary to perform our contract with users, run the service you request, protect legitimate business and security interests, comply with legal obligations, and obtain or rely on consent where applicable. If you provide information about other individuals through the service, you are responsible for ensuring you have the rights and permissions required to do so.

6. When we disclose information

We do not disclose personal information except as reasonably necessary for service operations, legal compliance, protection of rights, or corporate administration.

  • Service providers and subprocessors that host infrastructure, process authentication, provide analytics, store data, send email, monitor performance, or enable AI and workflow features.
  • Connected platforms and integrations at your direction or as needed to deliver requested product functionality.
  • Professional advisers, insurers, auditors, financing sources, or transaction counterparties under appropriate confidentiality obligations.
  • Regulators, courts, law enforcement, or other parties where disclosure is required or reasonably necessary to investigate misuse, enforce our rights, or reduce legal or security risk.
  • A buyer, investor, successor, or affiliate in connection with a merger, financing, acquisition, reorganization, or sale of all or part of our business.

7. We do not sell personal information

We do not sell or rent personal information for money. We do not build a business around reselling customer data. We use information primarily to operate, secure, support, and improve fv-chatter and to comply with law. We may use aggregated or de-identified information that does not reasonably identify a person to understand service performance and business trends.

8. Data retention

We retain information for as long as reasonably necessary for the purposes described in this policy, including service delivery, recordkeeping, safety review, fraud prevention, dispute resolution, backup integrity, and legal compliance. Retention periods vary based on data type, system design, contractual commitments, and operational need. When we no longer require information, we will delete it, anonymize it, or securely isolate it unless continued retention is required or permitted by law.

9. Security and international processing

We use administrative, technical, and organizational safeguards designed to protect information against unauthorized access, alteration, disclosure, or destruction. These measures include access controls, logging, infrastructure protections, and token handling controls appropriate to the nature of the service. No system or transmission method is completely secure, and we cannot guarantee absolute security.

Because we and our service providers may operate in multiple jurisdictions, information may be stored or processed inside or outside Canada. By using the service, you understand that information may be transferred to jurisdictions with privacy rules different from those in your home jurisdiction, subject to the safeguards and contractual measures we determine are appropriate.

10. Your choices and rights

You can manage certain account settings directly within the product. Subject to applicable law, you may also have rights to request access to, correction of, export of, or deletion of certain personal information. We may need to verify your identity before acting on a request, and we may decline or limit requests where permitted by law, including where the information also relates to other persons, is needed for security, legal compliance, or dispute resolution, or remains in backups for a limited period.

11. Children and sensitive activity

fv-chatter is not directed to children, and the service is intended only for adults who are legally permitted to use creator and automation tools in their jurisdiction. Do not use the service if you are under the age of majority required to enter a binding contract where you live. If you believe a child has provided information to us in connection with the service, contact us so we can review and take appropriate action.

12. Policy changes and contact

We may update this Privacy Policy from time to time to reflect legal, operational, or product changes. The updated version will be posted with a revised effective date. Your continued use of the service after the updated policy becomes effective means the revised policy will apply going forward.
